Onboarding Process

From first call to go-live
in four weeks

Most care management software takes months to implement. XageCare is different. Our dedicated onboarding team handles the heavy lifting so your team can focus on care from day one. No lengthy procurement cycles. No IT department required.

Step-By-Step Process

Your onboarding journey, week by week

Every XageCare onboarding is managed by a dedicated specialist who stays with you from the initial discovery call through to go-live and beyond. We do not hand you a login and wish you luck.

We configure the platform to match your service, migrate your existing data, train your team role by role, and stay on standby when you go live. Our goal is to make the transition feel seamless for your staff, your service users, and your families.

01 WEEK ONE Discovery & Setup

Setting the foundations for your digital care transition

During the first week, we gather the essential structure of your care setting to configure your safe sandbox and administrative spaces.

  • Initial onboarding call with your dedicated specialist to understand your service, your team structure, and your priorities
  • Service structure configured: locations, departments, and care settings mapped into the platform
  • Staff imported: all team members added with correct roles, access levels, and assignments
  • Modules enabled and configured based on your specific requirements: care planning, rostering, medication, compliance, and more
  • Account setup for administrators and coordinators so they can begin exploring the platform immediately
02 WEEK TWO Data Migration

Secure, complete, and fully handled data transfer

We handle the manual labor of digitizing your care archive. Our security-cleared experts migrate raw documents, past rotas, and care files without interrupting daily shifts.

  • Paper records digitised and uploaded by our team; you do not need to re-enter anything manually
  • Data from existing platforms (other care systems, spreadsheets, or databases) mapped and transferred
  • Service user profiles reviewed and confirmed; personal details, health history, care needs, and NOK contacts all in place
  • Carer profiles matched to service users for continuity of care
  • Data integrity checks run to ensure nothing is missing or mismatched before training begins
03 WEEK THREE Role-Based Training

Ensuring every member of staff is confident

We deliver distinct pathways tailored to different team roles, so carers focus purely on active point-of-care updates, while managers master rosters and audits.

  • Separate training sessions for managers, coordinators, and carers based on what is relevant to them
  • Hands-on walkthrough of all enabled modules with real data from your service
  • Practice environment available for staff to explore without affecting live records
  • Recorded training sessions provided so new staff joining after go-live can get up to speed independently
  • Q&A sessions and troubleshooting support throughout the week
04 WEEK FOUR Active Go-Live

Launching safely with dedicated standby support

We don't leave when you push the switch. Your onboarding manager remains directly reachable for real-time adjustments as real daily shifts run.

  • Live use begins with your onboarding specialist on standby throughout the first week
  • Any issues resolved within the same working day; no ticket queues, no waiting
  • Daily check-in calls during the first week to ensure everything is running smoothly
  • Handover to our ongoing support team, Monday to Friday, 9am to 5pm
  • Post-go-live review after 30 days to assess adoption, identify any gaps, and plan next steps
Minimal Requirements

What we need from you

Transitioning to a modern care system shouldn't exhaust your team's time.
We keep the demands minimal:

Preparation

A few small coordinates are all our onboarding experts need to orchestrate the entire migration path:

  • A main point of contact for the onboarding process
  • Access to existing records (paper or digital) for data migration
  • Staff availability for training sessions (typically 1-2 hours per role)

What is Not Required

XageCare is built on fully managed infrastructure. That means your team faces zero technical friction:

  • No technical or IT infrastructure required locally
  • No server setups, network management, or software installs
  • No hidden training, setup, or support fees

We do not disappear after go-live

Our support team is available by phone and email during working hours, Monday to Friday, 9AM to 5PM. You can also reach us at support@xage.care.

We also provide regular platform updates, automated compliance framework updates, and optional refresher training sessions as you scale or onboard new carers.
